The Mailroom Specialist is responsible for a range of operational tasks including high-volume duplicating, production, mailing, sorting, and using bindery equipment. The role also involves copier maintenance, customer site equipment repairs, reception duties, file services, and light building maintenance. The position reports to the Site Manager, Site Supervisor, or Assistant Site Manager, and requires excellent communication skills in a fast-paced, customer-focused environment.
Primary Responsibilities:
Operate high-volume copiers, binding, and finishing work.
Perform daily inspections and maintenance of convenience copiers, escalate issues as needed.
Troubleshoot basic equipment problems.
Set up equipment (toner, paper) as specified by the customer.
Scan and/or image documents.
Perform receptionist duties when needed.
Manage inventory, logs, and reports.
Distribute office supplies, faxes, and mail.
Coordinate service calls and maintain daily logs.
Deliver completed jobs to customer locations.
Assist with meeting and conference room setups.
Handle light maintenance, cleaning, and dock work.
May occasionally require overtime or off-hour emergency response.
Operate office equipment like shrink-wrap machines, paper cutters, and binders.
Capture data for Ricoh’s MOR, SPG, and job logs.
Perform additional duties as assigned.
Qualifications:
1-2 years of relevant experience, preferably in copy services.
Experience with copier troubleshooting is a plus.
Knowledge of shipping/receiving procedures is beneficial.
A valid driver’s license and minimum auto insurance may be required.
High school diploma or GED.
